2. Scope
This policy covers:
- Visitors to our public Website;
- Authorized employees and contractors who use the App;
- Business and customer information processed in the App;
- Data accessed or transferred through an authorized QuickBooks Online connection.
This policy does not control Intuit's own processing of QuickBooks data under Intuit's terms and privacy policy. When you use QuickBooks, Intuit is a separate controller/processor for its services.
3. Information we collect
3.1 Website visitors
- Contact information you provide when you email or call us (for example name, phone, email, address, project details).
- Technical data that may be collected automatically by hosting providers or browsers (for example IP address, browser type, device type, pages viewed, and approximate timestamps).
- Cookies / local storage only as needed for basic site function (for example remembering UI preferences). We do not operate a third-party advertising pixel network on the Website as of the effective date.
3.2 Operations App users (staff)
- Google account identifiers / email used to open the App (when Google sign-in is required);
- Employee login username and password credentials (passwords are stored as salted hashes, not plain text);
- Role / access level, session tokens, and activity needed to authenticate and authorize actions;
- Audit-style metadata such as who created or last updated a record, when available.
3.3 Business and customer data in the App
Depending on how the Company uses the App, records may include:
- Customer / general contractor names, phones, emails, billing addresses, payment terms, tax settings;
- Projects, jobs, site addresses, notes, status, and related operational details;
- Quotes/estimates, invoices, line items, tax amounts, balances, payment status;
- Payments, credit adjustments, vendors, catalog items/services;
- Employee directory details used for staffing (name, role, phone, status);
- Uploaded files and documents stored in connected Google Drive / file indexes;
- Company settings (branding, default tax/payment terms, email templates, allowed user lists).
3.4 QuickBooks Online data
If an authorized administrator connects QuickBooks Online, the App may access and process accounting-scoped data through Intuit's APIs, which can include (as available and configured):
- Company information (company name / realm identifiers);
- Customers and jobs/sub-customers;
- Items (services / non-inventory);
- Invoices, estimates, payments, credit memos;
- Vendors;
- Related identifiers, sync tokens, document numbers, and tax/deposit account references needed for sync;
- OAuth tokens (access token, refresh token, realm ID, environment) stored securely in App script properties to maintain the connection.
The App is designed primarily for operations and AR workflows. It does not purport to import full general ledger, bank feeds, payroll, or all inventory quantity systems unless later featured and disclosed.
4. How we use information
We use information to:
- Operate, secure, and improve the Website and App;
- Authenticate users and enforce access controls;
- Run plumbing operations, estimating, invoicing, collections, and internal reporting;
- Send invoice emails and business communications you initiate through the App;
- Sync selected records with QuickBooks Online when connected (pull and, if enabled, push);
- Maintain business records, backups, and audit trails;
- Comply with legal obligations and protect against fraud, abuse, or security incidents;
- Respond to Website inquiries and support requests.
We do not sell personal information.
5. Legal bases (where applicable)
Where a legal basis is required, we rely on one or more of the following:
- Performance of a contract / provision of requested services;
- Legitimate interests in operating a secure business operations platform;
- Consent (for example when connecting QuickBooks or submitting optional Website contact details);
- Legal compliance.
6. How we share information
We may share information with:
- Service providers / processors that host or power the App and Website, including Google (Apps Script, Sheets, Drive, email delivery) and our web host;
- Intuit / QuickBooks Online, when a company connection is authorized, so the App can read and (if enabled) write accounting data via Intuit APIs;
- Company personnel with a need to know based on role;
- Professional advisors (for example accountants or counsel) under confidentiality obligations;
- Authorities when required by law, legal process, or to protect rights, safety, and security;
- Business transfer parties in connection with a merger, acquisition, or asset sale, subject to appropriate safeguards.
We do not share QuickBooks-connected data with unrelated third parties for their own marketing.
7. QuickBooks-specific disclosures
- Authorization: Connecting QuickBooks requires an authorized QuickBooks user to approve OAuth access.
- Purpose limitation: QuickBooks data is used to operate Company workflows in the App (customers, AR documents, items, vendors, and related sync), not for selling data.
- Tokens: Connection tokens are stored to refresh access. Disconnecting the integration removes stored connection tokens from App properties; copies of previously imported business records may remain in Company systems until deleted under retention practices.
- User control: Administrators can disconnect QuickBooks in App settings (subject to permissions).
- Intuit independence: Intuit's privacy practices are described in Intuit's own privacy policy. Review Intuit's terms when authorizing access.
8. Data storage and security
- App data is typically stored in Google Workspace / Google Cloud services associated with the Company's Apps Script deployment and linked spreadsheet/Drive resources.
- Website files are hosted with our website hosting provider.
- We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the data (access controls, hashed passwords for employee logins, least-privilege management actions, and secure token storage practices).
- No method of transmission or storage is 100% secure. Absolute security cannot be guaranteed.
9. Retention
We retain Website inquiry information as needed to respond and for ordinary business recordkeeping. App and QuickBooks-synced business records are retained for as long as needed for operations, accounting, tax, legal, and backup purposes, unless a shorter period is required by law or Company policy, or a validated deletion request applies and no exemption requires retention.
10. Your choices and rights
Depending on your location and role, you may have rights to:
- Request access to personal information we hold about you;
- Request correction of inaccurate information;
- Request deletion, subject to legal and business-record exceptions;
- Object to or restrict certain processing;
- Withdraw consent where processing is consent-based (for example disconnecting QuickBooks).
Staff users should first contact management for App account changes. Customers with privacy questions about their plumbing service records may contact info@cwwoodplumbing.com. We may need to verify identity before fulfilling requests.
If you are a California resident, you may have additional rights under the CCPA/CPRA (including the right to know, delete, and correct, and to not be discriminated against for exercising rights). We do not sell or "share" personal information for cross-context behavioral advertising as those terms are commonly defined.
11. Children's privacy
The Website and App are not directed to children under 13 (or under 16 where applicable), and we do not knowingly collect personal information from children. If you believe a child provided personal information, contact us and we will take appropriate steps to delete it.
12. International users
We are based in Florida, United States. If you access the Website or App from outside the U.S., you understand information may be processed in the United States where privacy laws may differ from those in your jurisdiction.
13. Third-party links
The Website and App may link to third-party sites or tools (for example Fieldpulse, email login portals, review platforms, or Intuit). Their privacy practices are governed by their own policies.
14. Changes to this policy
We may update this Privacy Policy by posting a revised version on this page with a new "Last updated" date. Material changes may also be communicated to App administrators when practicable. Continued use after an update means you acknowledge the revised policy.
